The Embassy of the Grand-Duchy of Luxembourg in Kosovo is recruiting

Job title:                           Driver and Assistant in General affairs

Job level:                          Local

Contract type:                  Permanent contract with 6 months probation period
                                         Part-time (50%) 
                                         may be upgraded to full-time (100%) pending approval

Start date:                        1st January 2021

 

General job description:

  • Driver for the Head of Mission;
  • Transportation of visiting delegations including transport arrangements and logistics;
  • Maintenance of the Embassy vehicle;
  • Basic IT tasks for the Embassy;
  • Administrative tasks for the Embassy;
  • Front office tasks (i.e. welcoming visitors, answering the phone);
  • Overview of building maintenance and contacts with workers;
  • Logistics.

Duties and responsibilities:

Under the authority of the Head of Mission, the recruited person will be responsible for all transportation arrangements of the Embassy, including driving the Head of Mission, driving visiting delegations, transporting goods, and any other transportation assignment as required. He/she will be responsible for the maintenance of the Embassy vehicle making sure the vehicle is up to safety standards and in perfect functioning condition at all times, as well as keeping the vehicle clean and fueled up.

The recruited person will be responsible to carry out administrative duties for the Embassy, these will include answering the phone and receiving visitors, basic email exchanges, co-managing the agenda of the Head of the Mission. Tasks include but are not limited to organizing meetings, answering simple questions on visa and consular issues, redirecting phone calls and emails as necessary. Depending on the profile of the recruited person, tasks can also include the drafting of documents.

The recruited person will be responsible for general maintenance and upkeep of the Embassy premises. This includes informing the Head of Mission or the Assistant of any problems and liaising with external companies and workers, as well as the landlord, to organize maintenance, repairs and upkeep.

The recruited person will be asked to perform basic IT duties in liaison with the IT Department of the Ministry and European Affairs in Luxembourg.

Job requirements:

  •  Avails of a driving license and has driving experience of at least 10 years, with a preference of official driving experience for a diplomatic or international mission;
  • High standard driving skills and safe driving with no prior traffic offences;
  • Knows and applies traffic rules and regulations in Kosovo and neighbouring countries;
  • Has knowledge of applicable rules and regulations with regards to safety and security, car mechanics, route planning, topography, etc.;
  • Has knowledge and experience with car mechanics and maintenance;
  • Has knowledge of basic administrative duties of Embassies and basic writing skills;
  • Basic IT skills;
  • Is fluent in Albanian and English languages. Knowledge of and/or willingness to learn French will constitute an advantage;
  • Able to work independently as well as in a team;
  • Willing to take initiative.

Please note this is a local staff position. The employment contract will be governed by the Employment and Labour Law of Kosovo. Remuneration will be determined based on qualifications and experience.

Qualifications, knowledge and skills:

Level of Education: Secondary education

The recruited person should demonstrate excellent driving skills and a service-oriented attitude. He/she should be flexible, proactive, a team player and open to perform additional tasks. He/she is well organized and punctilious when performing tasks. The recruited person must be willing to work outside of office hours when requested.

Confidentiality and reliability are essential to this position.

Contacts:

The Embassy is a very small team composed of the Head of Mission and one assistant. The recruited person will work directly for the Head of Mission and be accountable to him/her. He/she will work closely together with the Assistant to coordinate their work. The recruited person will also have contacts with visiting delegations from Luxembourg, as well as with different companies (IT, maintenance, repairs, etc.).
